# Read meeting agenda items and linked records

> Expand agenda items, distinguish presentation visibility from access, and understand the data and quote providers represented in a meeting.

**Audience:** Company users with access to the meeting and its shared content, and MSP staff. The MSP prepares the agenda; viewing it does not grant editing rights to the meeting or linked records.

## Read an agenda item

1. Open the [meeting workspace](/user-guides/calendar/read-meeting-workspace) and scroll to **Meeting Agenda**.
2. Review the item count and **visible in presentation** count above the list.
3. Select an item's title row to expand its available details. Select it again to collapse it. Use the row title rather than the drag handle, eye or trash controls.
4. Review its title, type, available status or metrics, text and notes. Some item types show only a compact summary; an expanded row is not always the full source record.
5. If Group View is available, open the relevant group and item. Use List View to return to individual rows when offered.

The agenda may group similar content automatically, including tickets by provider. Grouping changes how the content is organized; it does not create or remove linked records. A saved list order and a grouped display can look different.

## Understand the linked content

The workspace can display financial, delivery, support and review material prepared by the MSP: budgets, Planner items, reports, tickets, compliance checks, goals, projects, devices, invoices, licenses and quotes, plus text blocks and dividers. Other module-to-meeting workflows can supply additional item types; the general Add Item chooser is not a complete list of every type the agenda can display.

An agenda item is a link or piece of meeting content, not a copy of every function in its source module. For example, a device agenda item can show only its type, and a budget row can show a fiscal-year summary rather than the complete budget. Use the relevant module and your existing permissions for the full record or a change to that record.

Data reflects the available linked record and its source synchronization. It is not guaranteed to update live while the meeting stays open. Missing detail, a generic title or an error does not mean the underlying record is healthy, approved, paid or complete. Ask the MSP to verify the source and access when something is missing.

### Quote providers

Quote agenda entries currently refer to **Quoter** quotes. The separate [Quotes module](/user-guides/quotes/index) supports **Salesbuildr**, **QuoteWerks** and **Quoter**. Do not infer that every provider available in Quotes can be added through the agenda's Quote picker, or that an absent agenda quote means the provider is unsupported by MSPortal.

## Understand presentation visibility

The total item count includes agenda items that are not selected for presentation. **Visible in presentation** counts those selected to appear there. A dimmed item can remain in the workspace even when it is hidden from the presentation.

The eye control changes presentation visibility. It is not a privacy control, a permission change or deletion of the underlying record. Do not hide an agenda item as a way to protect confidential information from people who can access the meeting.

Expanding and collapsing rows or groups is a reading action. Dragging an item, toggling its eye, editing its content or using removal controls can save changes. There is no single workspace Save button that holds all these actions until later.

## Ask for agenda changes

Ask your MSP to add missing material or correct an agenda item when you do not have meeting-write permission. Company administrator status alone does not grant that permission.

MSP staff can use **Add Item** to choose the offered content types. Selecting an item or custom-content action can add it immediately; do not treat the chooser as a harmless preview once an item is selected. Opening the chooser or searching available options is different from adding content.

Removing an agenda item removes the meeting link/content, not the original budget, project, ticket or other source record. Removing a text block removes that meeting text. Editing an agenda title or notes does not automatically edit the source record.

## FAQs

<AccordionGroup>
  <Accordion title="Where can I read the meeting agenda without presenting it?">
    Open the meeting workspace, scroll to Meeting Agenda and expand an item by its title row.
  </Accordion>

  <Accordion title="Does expanding an agenda row save a change?">
    No. Expansion is a reading action. Dragging, visibility toggles, edits and removal are separate actions that can save changes.
  </Accordion>

  <Accordion title="Why does an expanded item show only a small summary?">
    Agenda details vary by item type. Some show only limited metadata; use the source module for the complete accessible record.
  </Accordion>

  <Accordion title="Does the Add Item menu show every supported agenda type?">
    No. Other module-to-meeting workflows can supply additional types beyond that chooser's options.
  </Accordion>

  <Accordion title="Why are my agenda items grouped?">
    Similar content can be grouped automatically, including tickets by provider. Grouping changes organization rather than adding or deleting records.
  </Accordion>

  <Accordion title="Why does the group order differ from the item list?">
    The grouped display organizes items by type or provider, while the list uses the agenda's item order.
  </Accordion>

  <Accordion title="Are agenda metrics guaranteed to update live during the meeting?">
    No. They reflect available linked records and source synchronization. Check the source when current data matters.
  </Accordion>

  <Accordion title="Which quote provider does the agenda's Quote picker use?">
    It currently uses Quoter. The separate Quotes module supports Salesbuildr, QuoteWerks and Quoter; those provider lists are not interchangeable.
  </Accordion>

  <Accordion title="Does an absent Salesbuildr or QuoteWerks agenda option mean MSPortal does not support it?">
    No. Both are supported by the Quotes module, while the agenda's Quote link currently uses Quoter.
  </Accordion>

  <Accordion title="Why are there more agenda items than visible-in-presentation items?">
    The total includes items not selected for presentation. They can remain visible in the workspace.
  </Accordion>

  <Accordion title="Does hiding an item from presentation make it confidential?">
    No. Presentation visibility is not a privacy or access-control setting.
  </Accordion>

  <Accordion title="Does removing an agenda link delete the original record?">
    No. It removes meeting content or its link, not the source budget, project, ticket or other record. Removing a text block removes that meeting text.
  </Accordion>

  <Accordion title="Does editing an agenda title update the linked source record?">
    Not automatically. Agenda content and the source record are separate.
  </Accordion>

  <Accordion title="Can Company administrators add or reorder agenda items automatically?">
    No. Meeting-write permission is assigned by the MSP; administrator status alone is not enough.
  </Accordion>

  <Accordion title="Does Add Item wait for a final workspace Save?">
    No. Selecting an item or custom-content action can add it immediately. Opening or searching the chooser is a separate step.
