# Filter the Planner timeline

> Search work, narrow status and business value, and find items hidden by timeline filters.

**Audience:** Company users with Planner read access and MSP staff. Your MSP manages Company permissions and which work is visible to your company.

Filters change the displayed roadmap. They do not edit a work item's status, priority, dates or costs, and they do not grant access to hidden work.

## Search within the company scope

1. Open **Planner > Timeline View** and check the portal's company selection.
2. Type part of an item's title or description in the search box and wait briefly for results.
3. Use a specific phrase if a broad search returns too many items.
4. Check the relevant year and **Unscheduled** if the item has no visible card in the current period.

The exact search terms **high**, **medium** and **low** filter by **Business Value**. They do not search those words in titles. Other text searches title and description, not every note or linked record. Clear the search field to remove that restriction.

## Use the filter drawer

1. Select **Filters**, the sliders button in the toolbar.
2. Choose the needed **Status**, **Type** and **Business Value** options.
3. Select **Apply Filters** to close the drawer and review the roadmap.
4. Reopen Filters to change or clear selections.

Multiple options in one section are alternatives; different sections narrow the results together. For example, selecting High and Medium includes either value, while adding a Type limits those results to that type.

Selections take effect as you change them. **Apply Filters** closes the drawer; it is not a separate data save. Closing with the X does not discard the selections.

## Include finished work or projected costs

**Show Completed & Cancelled** is off initially, so those items are hidden. Turn it on to include them alongside other matching work. Selecting Completed or Cancelled in the Status filter also turns this switch on. A selected status still narrows the results: turning on the switch alone does not remove an existing status filter.

**Project Recurring Costs** is off initially. Turn it on to include applicable monthly and annual costs in later periods. It affects cost summaries, not card placement or estimated hours. See [Read the Planner timeline](/user-guides/planner/read-timeline) for full-period projection rules.

## Understand Filter by Role

When role options are available, **Filter by Role** narrows work to companies where a selected person holds the selected company role. It does not mean that person is assigned to each displayed Planner item. Multiple selected role/person combinations can match any of those companies.

The role filter combines with company scope, search and the drawer filters. If it yields no work, check those other restrictions too.

## Reset and troubleshoot

Choose **Reset** inside Filters to clear search, role selections, Status, Type and Business Value, and return to the current year in Quarterly view.

Reset does **not** return every display preference to its initial state. Check **Show Completed & Cancelled**, **Project Recurring Costs** and View density separately; the two switches and density are retained. Reset does not change company scope or reveal items withheld from Company users.

If an item still seems missing:

1. Verify the company scope and clear search and filters.
2. Check its due year or open Unscheduled.
3. Include Completed and Cancelled if appropriate.
4. Ask the MSP whether the item was archived, hidden from Company users or moved to another accessible company.
5. If a loading error appears, treat the result as incomplete and reload or ask the MSP for help. An empty screen after an error is not proof there is no planned work.

    No. Choices take effect as you make them. Apply Filters or the close X closes the drawer without discarding them.

  <Accordion title="Can I include more than one status or type?">
    Yes. Options within one section are alternatives. Different filter sections combine to narrow the results.

  <Accordion title="Does Filter by Role show items assigned to that person?">
    It filters companies where the person holds the selected role. It does not filter by the Planner item's assignee.

    It clears search, role selections, Status, Type and Business Value, and returns to the current year in Quarterly view. Company scope stays unchanged.

    Reset retains Project Recurring Costs and Show Completed & Cancelled. Set those switches separately; density is retained too.

    Yes. Its items and count follow the timeline's current filters. Clear restrictions before assuming an undated item is absent.

  <Accordion title="Can Company users reveal work hidden by the MSP?">
    No. Filters do not override company access, permissions or the MSP's item visibility settings. Ask the MSP about missing work.

  <Accordion title="Is Project Recurring Costs an approval or a budget save?">
    No. It changes the displayed cost projection. It does not approve work, save a Budget module plan or write invoice data.
