# Find Planner items in List View

> Find work by title, company, assignee, status, source and due date.

**Audience:** Company users with Planner read access and MSP staff. Your MSP manages permissions and which work is visible to Company users.

Open **Planner Menu > List View** for a table of work across the current company scope. List View is useful when you know an item's title or need to compare fields without navigating timeline periods.

## Find and open an item

1. Check the portal's company selection.
2. Enter part of the title in **Filter...** under **Title**. Wait briefly for the results.
3. Narrow the other column filters if needed.
4. Select the item's title to open its details. See [Read a Planner item](/user-guides/planner/read-item-details) for its fields, notes, relationships and files. Close the dialog when finished reading.

Title search matches titles only. It does not search descriptions, notes or linked records. Unlike the timeline search, typing **high** in this field searches title text; use the **Value** filter for High Business Value.

Users with read-only access can inspect the item without saving changes. A row menu can still call the opening action **Edit**; that label does not grant editing permission. Ask the MSP if you need additional access.

## Combine column filters

| Column       | How to narrow the list                                                                                                      |

| **Title**    | Text contained in the title.                                                                                                |
| **Company**  | Choose one or more available companies within your permitted scope.                                                         |
| **Assignee** | Choose available staff assignees or **Unassigned**. This is the item's assignee, unlike the timeline's company-role filter. |
| **Status**   | Choose one status, such as Not Started, In Progress or Completed.                                                           |
| **Value**    | Choose one Business Value, such as High, Medium or Low.                                                                     |
| **Type**     | Choose one of the available item types.                                                                                     |
| **Source**   | Choose Manual, Standards or PSA.                                                                                            |
| **Due Date** | Choose a date preset, or Not Set for undated items.                                                                         |
| **Hours**    | Enter a minimum and/or maximum estimate. Keep the minimum at or below the maximum.                                          |

Different column filters narrow results together. Company and Assignee can include multiple choices; Status, Value, Type and Source select one choice at a time. Company users do not receive the staff assignee choice list; available filters still cannot reveal work outside their access.

**Standards** identifies work linked to the MSP's Standards catalog (formerly Tool Stack). **PSA** identifies work with a PSA-managed opportunity link. A manually linked opportunity does not, by itself, make the item PSA-managed. Check the item's details before assuming changes will sync to another system.

Filters query matching work across the list, not just the 25 rows already visible. Choose **Clear Filters** to return column filters to their starting state. If you arrived through a link with initial Company or Source filters, those starting restrictions can be restored; set individual filters to All or open List View normally to remove them.

## Use due-date filters

**Past Due** finds dates before today. It does not automatically exclude Completed or Cancelled items. Combine it with Status when reviewing unfinished work. **Not Set** finds items without a due date; the timeline places those in Unscheduled.

## Read pages and estimates

The list loads **25 items per page**. Use **Previous** and **Next** below the table and check the page count. Filtering and sorting return to page 1. A sortable column heading changes the order of the matching list; the Source column is not sortable.

Scroll the table horizontally when later columns, including Hours and Cost, are off screen. Hours are estimates. Cost can show separate One-time, Monthly and Annual amounts in the company's currency; these are separate cadences, not one combined annual total or invoice amount.

Checkbox selection covers loaded page rows. Moving to another page or changing filters/company scope clears selection. Selection alone does not edit the work; bulk changes are separate permission-dependent actions.

## Find archived work

Choose **Archived** above the table to switch to archived items only. Choose it again to return to non-archived work. The toggle changes which records you read; it does not archive or restore an item. Existing column filters still apply, and changing this view returns to page 1 and clears selection.

An empty archived list can mean no accessible archived work matches your filters. It does not prove the item was deleted. Company visibility rules still apply.

## Export and troubleshoot

List View currently has no **Export CSV** button. To export Planner analysis data, open **Planner Menu > Analytics** and use its **Export** control after choosing its own filters. That export uses the Analytics dataset and selected cost type; it does not inherit this list's filters. See [Read and export Planner Analytics](/user-guides/planner/read-analytics).

If an item is missing, check company scope, column filters and Archived. If a loading error appears, treat the displayed result as incomplete and reload or contact the MSP. Ask whether the item was hidden from Company users before assuming it no longer exists.

    Assignee belongs to the Planner item. The timeline role filter matches people holding roles for a company.

    Choose Not Set under Due Date in List View, or open Unscheduled in Timeline View.

    It filters the date, not completion status. Add a Status filter to narrow the results.

  <Accordion title="Does Archived show both active and archived items?">
    No. The selected Archived view shows archived items only. Toggle it off for non-archived work.

  <Accordion title="Does clicking Archived archive my items?">
    No. It only switches the list view. Archiving and restoring are separate editing actions.

  <Accordion title="Why does the Edit menu open details without allowing changes?">
    Read-only users can inspect details. The menu label does not override MSP-granted permissions.

  <Accordion title="Does Select All include every page?">
    Selection applies to loaded page rows. Moving pages or changing filters/company scope clears selection.

  <Accordion title="Are the displayed costs annual totals?">
    No. One-time, Monthly and Annual amounts are shown separately in each company currency. They are planning estimates.

  <Accordion title="Where is Export CSV in Planner List View?">
    List View does not expose CSV export. Analytics has Export, with its own filters, selected currency and cost type; it is not a copy of the current list.
