# Read a Planner item

> Review the schedule, estimates, notes, linked records and files for planned work.

**Audience:** Company users with Planner read access and MSP staff. Your MSP manages permissions and whether an item is visible to Company users.

Open **Planner Menu > List View**, find the item and select its title. You can also open a card from the timeline. Details appear in a dialog with fields on the left and description and notes on the right. Scroll inside the dialog to reach lower sections; these sections are not separate tabs.

## Read the plan

| Field                             | What it tells you                                                                                           |
| --------------------------------- | ----------------------------------------------------------------------------------------------------------- |
| **Title** and **Company**         | The work being planned and the company it belongs to.                                                       |
| **Due Date**                      | The planned completion date. It also determines timeline placement. An undated item appears in Unscheduled. |
| **Status**                        | Not Started, Pending Approval, In Progress, Completed, On Hold or Cancelled.                                |
| **Type**                          | The category configured by your MSP. Available types can differ between portals.                            |
| **Business Value**                | Low, Medium or High business importance. It is separate from Status and Probability of Success.             |
| **Est. Hours**                    | Estimated effort, not recorded timesheet hours.                                                             |
| **Qty**, **Costs** and recurrence | Quantity, unit amount and whether a cost is One-time, Monthly or Annual.                                    |
| **Probability of Success**        | The planning probability used for expected-value and risk calculations.                                     |

These are planning estimates. **Pending Approval** is an item status; it does not prove that a quote, budget or purchase was approved. **Completed** describes this Planner item and does not establish that every linked ticket or project is closed.

## Description and notes

**Description** summarizes the initiative. **Notes** provides the shared explanation and supporting details. Company users who can read the item can read its public notes.

**Private Notes (Internal Only)** is for MSP staff. It is not a personal notebook restricted to its author, even if an input placeholder says “only visible to you.” Company users do not receive this private-notes section.

Reading access does not grant editing access. Fields may be disabled, and Save may be unavailable. Ask the MSP if a correction is needed or your role needs additional access; Company admins do not manage portal users and permissions themselves.

## Relationships

Scroll to **Relationships** to see the records supporting the plan. Depending on the item, these can include goals, compliance findings, Secure Score findings, devices, projects, opportunities and tickets. Some integration-created items also carry Cork relationships.

Use an available record link to inspect its supporting information. Some links open an MSPortal record; others open the connected provider. Access to a Planner item does not automatically grant access to the linked module or provider account. A missing link can mean no usable destination is available.

Linking a finding records a relationship. It does not, by itself, remediate the finding, complete a project or approve an opportunity.

## Custom fields and files

Expand **Custom Fields** to see additional fields configured by your MSP. The available fields can depend on the item's Type. An empty section does not mean required data was successfully loaded; check for any displayed loading or error message.

Saved items can have an **Uploads** section. Expand it to review filenames, then use a file's **Download** control when available. A paperclip in the dialog header, when present, takes you to the uploads section. An empty file list means no files are currently shown; it does not prove that a previous upload succeeded.

Users with read-only access do not receive upload and delete controls. MSP staff should use the [create and edit guide](/user-guides/planner/create-and-edit-items) before changing files: attachment operations happen separately from the item's Save button.

## Where reusable plans come from

Your MSP can prepare work using Planner templates. The template catalog is for MSP staff; Company users read or edit the resulting items according to their permissions. A template's visibility default applies to those items and does not give Company users access to the catalog.

## If an item or field is missing

Check the selected company, List View filters and **Archived**. Your MSP may have hidden the item from Company users. Private Notes and staff-assignee controls are intentionally unavailable to Company users. Other linked modules can have their own permissions.

Close the dialog using its close control when finished. Opening and reading an item does not save changes.

    Yes, public Notes are part of an accessible item. Private Notes (Internal Only) are reserved for MSP staff.

    No. They are internal MSP notes, not author-only notes. Company users do not receive them.

  <Accordion title="Does Pending Approval mean the budget or quote is approved?">
    No. It is the Planner item's status. Check the relevant budget or quote and its own approval workflow.

  <Accordion title="Does Completed prove linked tickets and projects are finished?">
    No. Inspect the linked records and their own statuses before making that conclusion.

  <Accordion title="Are Est. Hours actual time entries?">
    No. They estimate the effort for planned work; they are not timesheet hours.

  <Accordion title="Why can I see a Planner item but cannot open its linked record?">
    The linked module or external provider can require separate permission and sign-in. Ask the MSP to check access.

  <Accordion title="Where are additional fields configured for this item?">
    Expand Custom Fields in the item dialog. Your MSP configures the fields, and the item's Type can affect which appear.

  <Accordion title="Where can I download a file attached to planned work?">
    Open the saved item, expand Uploads and use the file's Download control. The header paperclip, when present, takes you to that section.
  </Accordion>

  <Accordion title="Why is a Planner item missing for a Company user?">
    Check company scope, filters and Archived. The MSP can also hide the item from Company users; Company permissions do not override that visibility setting.
  </Accordion>

  <Accordion title="Can Company users browse Planner templates?">
    No. The catalog is for MSP staff. Company users work with the resulting visible items, within the access granted by their MSP.

  <Accordion title="Why did my MSP add the same planning initiative to several companies?">
    MSP staff can apply reusable Planner templates to several companies, creating a separate item for each. You see only items within your company access that the MSP makes visible. Ask your MSP about your item’s scope or due date.
