# Read the Planner timeline

> Find scheduled and unscheduled work, choose a time scale and understand the planning summaries.

**Audience:** Company users with Planner read access and MSP staff. Editing and management actions depend on permissions granted by the MSP.

Planner shows proposed work and initiatives. Company users see items their MSP makes visible within their access scope. An item on the roadmap is not proof that it is approved, scheduled in a technician's calendar or completed.

## Find the right view

1. Open **Planner**. If you are in another Planner page, choose **Planner Menu > Timeline View**.
2. Check the company scope at the top of the portal. Staff can review permitted companies together or select one company.
3. Use Monthly, Quarterly or Yearly and scroll horizontally to the relevant period.
4. Check the period's year as well as its month or quarter.
5. Select an item's **title** to open its details. For read-only users, the item opens without editing access. The blank area of a card is not the same as its title.

| View          | What the columns mean                                                              |
| ------------- | ---------------------------------------------------------------------------------- |
| **Monthly**   | January through December for the selected year. This is not a day-by-day calendar. |
| **Quarterly** | Q1–Q4 with month ranges and years; the timeline can span consecutive years.        |
| **Yearly**    | One column per year for longer-term planning. It is not twelve month columns.      |

Use **Previous Year** and **Next Year** in Monthly or Quarterly. The year arrows are disabled in Yearly; scroll across its year columns instead. **Today** returns to the current year/period without changing an item's dates or the selected time scale.

A scheduled card belongs to the period containing its **due date**. It is not a bar spanning the item's start and end dates. The highlighted current period is a navigation aid, not an overdue or completion status.

## Check Unscheduled

Open **Unscheduled** on the right side of the timeline to find items without a due date. Close the panel when you need more timeline space. Its count follows the current filters, so filtering can hide unscheduled items too.

An item outside the displayed year can be scheduled but absent from the visible columns. Check other periods, Unscheduled and the current filters before assuming it is missing. [Planner Menu > List View](/user-guides/planner/find-planner-items) is another way to locate work.

## Show more or less card detail

Open **View density** and choose:

| Density         | Card detail                                                                                     |
| --------------- | ----------------------------------------------------------------------------------------------- |
| **Comfortable** | Fullest detail, including linked records when present.                                          |
| **Compact**     | Smaller cards that retain status and priority badges but omit the expanded linked-record lists. |
| **Dense**       | Smallest cards; badges and expanded linked-record lists are hidden.                             |

Use Comfortable if you cannot see a status or relationship that appears in a more detailed view. Your browser remembers the selected year, time scale, density and recurring-cost projection preference. Search and all filter selections are not saved as a reusable shared view.

## Read items, hours and budget figures

Period headers summarize the currently filtered work. Item counts and estimated hours refer to cards due in that period. These are planning estimates, not time entries or invoices.

By default, the budget figure includes costs attached to items due in that period. It does not automatically repeat a monthly amount into every later month. **Filters > Project Recurring Costs** changes the cost projection:

* Monthly costs contribute a full month, quarter or year amount once the due period is reached.
* Annual costs contribute in the applicable period aligned with the due month in later years.
* One-time costs remain in the due period.

Projection uses full periods, without prorating the first quarter or year. For example, a monthly USD 100 cost due in February contributes USD 300 to Q1 and USD 1,200 to that year when projection is on. It can add costs to a future period without adding another card or repeating the item's estimated hours there.

Where different company currencies are present, the summary shows separate currency amounts. Do not add them as if the portal had converted them to one currency. The Planner budget figure is an estimate from Planner costs, not a saved budget document or Actuals reconciliation.

    Its due date. A card is grouped into its due period, not stretched across its start and end dates.

  <Accordion title="Where are items without a due date?">
    Open Unscheduled on the timeline's right side. Current filters still apply to those items.

  <Accordion title="Why did links or status badges disappear in Dense view?">
    Density hides some card detail without removing the data. Comfortable shows the fullest detail; Compact keeps badges but hides expanded linked-record lists.

  <Accordion title="How do I open a Planner item?">
    Select its title. Read-only users can inspect its details; editing requires additional access.
  </Accordion>

  <Accordion title="Are hours and budget figures actual time and spending?">
    No. They are Planner estimates for the filtered work. They are not time entries, invoices or budget Actuals.
