# Understand PSA-linked Planner work

> Read planning items connected to sales opportunities and know who manages updates.

**Audience:** Company users with access to the Planner item and MSP staff. Your MSP manages opportunity imports, client visibility and integration settings.

## Read the planning item

1. Find the item in **Planner > List View** or the timeline and open its title.
2. Review the item status, due date, description, hours and cost estimate.
3. Look in **Relationships** for a linked opportunity.
4. If the opportunity has an available link, open it only when you also have access to that provider page. Otherwise ask your MSP for its current details.

A linked opportunity provides commercial context for planned work. It is not proof that the quote was accepted, an order was placed, the work was completed or the amount was invoiced.

## Understand where the values come from

An MSP can import a synchronized Halo, ConnectWise or Autotask opportunity to create a Planner item. At import, the summary/details supply the title/description, the opportunity date supplies the due date, and its value supplies an initial one-time estimate. The MSP maps the source opportunity's Open/Won/Lost category to a Planner status.

A Planner item can therefore start as **Completed** if the MSP maps a Won opportunity that way. Read the work description and confirm delivery with your MSP; a sales outcome and actual work completion are separate facts.

Later PSA synchronization may refresh configured fields. A changed date or estimate can reflect a changed source opportunity rather than a direct edit in Planner. Ask your MSP which fields are managed by the PSA when a value is unexpected.

An ordinary manually linked opportunity does not always have the same refresh behavior as an imported item. The presence of a relationship alone does not tell you every field is synchronized.

## Access and document availability

The item's client visibility and your company/Planner access determine whether it appears. Provider access is separate. A visible Planner item can have a linked opportunity whose external page is unavailable to you.

The opportunity relationship is not itself a downloadable quote. For proposal documents, use [Quotes](/user-guides/quotes/view-quotes) and the [provider-specific document guide](/user-guides/quotes/download-quotes), or request the document from your MSP.

## If something looks wrong

Give your MSP the Planner item title, company and the field you are questioning. Ask whether the source opportunity, an import status mapping or ongoing synchronization explains the value. Company users do not repair PSA credentials or change the integration's mapping settings.

## FAQs

<AccordionGroup>
  <Accordion title="Why did an opportunity create a Planner item?">
    Your MSP can import synchronized PSA opportunities into Planner or configure automatic creation. Ask the MSP which process applies to that item.
  </Accordion>

  <Accordion title="Does a linked opportunity mean the work is approved?">
    No. A relationship supplies context. Check the actual approval, quote or project workflow with your MSP.
  </Accordion>

  <Accordion title="Why can a newly imported item say Completed?">
    The MSP maps opportunity categories to Planner statuses. Won defaults to Completed during import, which does not independently prove delivery work was completed.
  </Accordion>

  <Accordion title="Why did the due date or cost estimate change?">
    Configured fields can refresh from the linked PSA opportunity. Ask your MSP to check the source value and synchronization policy.
  </Accordion>

  <Accordion title="Does every manually linked opportunity update all Planner fields?">
    No. Refresh depends on the link and integration settings. The relationship alone does not guarantee field synchronization.
  </Accordion>

  <Accordion title="Does access to Planner give me access to the PSA page?">
    No. Provider access is separate. Use an available link only when permitted, or ask your MSP for the details.
  </Accordion>

  <Accordion title="Where is the quote document for this work?">
    Use Quotes and its provider-specific document options, or ask your MSP. A Planner opportunity link is not itself a downloadable quote.
  </Accordion>

  <Accordion title="Can a Company administrator change import mappings?">
    The MSP manages opportunity imports and integration mappings. Company administrator status does not automatically grant those settings.
