# Respond to project decisions and action items

> Answer a project question, record a decision, or complete an assigned request and check the saved result

Use a project's **Decisions** and **Action Items** tabs to respond to work assigned to you. This applies to Company users and MSP staff. Responding to your assigned item does not require permission to edit the whole project.

## Before you start

You need access to the project, and the item must be **pending** and assigned to your signed-in user. Company users must also have access to the shared item. The portal checks access again when you submit. If an item is missing or assigned incorrectly, ask your MSP to review it; Company administrators do not grant themselves project access.

## Find the request

<Steps>
  <Step title="Open the project">
    In **Projects**, [find the project](/user-guides/projects/find-projects) and select its card or row. Confirm the company and project name.
  </Step>

  <Step title="Choose the register">
    **Decisions** contains approvals, questions, access requests, scheduling confirmations, and decisions. **Action Items** contains work to complete. The header's actions-waiting button opens Decisions first when there are pending decisions; otherwise it opens Action Items. Its count includes both tabs, not only work assigned to you.
  </Step>

  <Step title="Review the item">
    Select **Pending** in Decisions or **Open** in Action Items to narrow the list. Select **Total** to return to all items, including cancelled ones. Expand the row to read its description. Pending items appear first, with urgent items and earlier due dates prioritized.
  </Step>
</Steps>

The tab badges count items, including resolved items; they are not unread counts. The summary counts apply to the current register, not both tabs combined. On narrow screens some assignment, linked-work, and date labels are hidden; expand the item and use a wider view if you need more context.

  <Step title="Enter the response where offered">
    Questions require an answer; decisions offer optional response text. The other request types show a confirmation without a text field. This form has no attachment or credential-upload control.
  </Step>

  <Step title="Confirm or cancel">
    Select the dialog's action button to save. **Cancel** closes it without submitting and clears the draft response. Wait while **Submitting...** is shown.
  </Step>

  <Step title="Check the result">
    After success the dialog closes and the project refreshes. The row should show **Done** under **Completed**. Expand it to review the response, completion time, and completing person's name where available. If you were filtering pending/open work, switch to Completed to find it.
  </Step>
</Steps>

<Warning>
  **Provide Access** and **Schedule** record completion of the request. They do not grant permissions, exchange passwords, or create a calendar meeting. **Complete** also does not automatically finish a linked PSA ticket or the whole project.
</Warning>

## Shared assignments and corrections

When several people are assigned, any one assigned user can complete the item. It becomes completed for everyone; this is not a separate approval vote from each person. If another assignee resolved it first, refresh and review the result before taking further action.

There is no Reject button in the Company response dialog. Do not approve something you do not accept. Contact your MSP to explain the issue. Company users cannot reopen or rewrite a completed response through this dialog; ask the MSP to handle corrections. For a new support issue, use the [Home AI Assistant](/user-guides/ticketing/open-a-ticket), review the proposed ticket, and confirm before submitting.

If submission fails, read the error, keep your intended answer, and refresh the project to check its current status and assignment. A request may already be resolved or your access may have changed. A failed submission is not confirmation that the work was recorded.

## FAQs

<AccordionGroup>
  <Accordion title="Why is there no green response button?">
    It appears only for a pending item assigned to your signed-in user. You may be able to read an item without being one of its assignees. Ask the MSP to check assignment and access.
  </Accordion>

  <Accordion title="Do all assigned people need to approve?">
    No. One assigned user's successful response completes the shared item for everyone. Use separate items if separate approvals are required.
  </Accordion>

  <Accordion title="Does Provide Access create permissions, or does Schedule book a meeting?">
    No. Both confirm that you have already performed the requested work. Arrange access or scheduling through the process agreed with your MSP before confirming.
  </Accordion>

  <Accordion title="Where did my response go after I submitted it?">
    Select Completed instead of Pending/Open, then expand the Done row. Its details show the saved response and completion information where available. A successful completion removes it from the pending view.
  </Accordion>

  <Accordion title="Can I reject, undo, or edit an approval?">
    The response dialog has confirmation and Cancel, with no Reject or undo control. Ask your MSP about a disagreement or correction; do not confirm an approval you do not accept.
  </Accordion>

  <Accordion title="Does completing a project action close its linked PSA ticket?">
    No. This records completion of the project action. A linked ticket or phase is context; its delivery status is managed separately.
