# Sync Standards to companies

> Choose schedules and visibility for new work and understand what a Standards sync refreshes.

**Audience:** MSP staff managing Standards settings. This operation can affect all active companies in the MSP.

Open **Settings > MSP Tools > Standards** after [preparing the catalog](/user-guides/settings/standards). Review names, descriptions, prices and category Planner types before distributing them.

## Start a sync

1. Finish inline edits and wait for them to save. Resolve any save errors first.
2. Select **Sync All Companies**.
3. Review the number of catalog items and categories. The operation covers every active company; the top company selector is not a one-company rollout control for this action.
4. Under **Schedule new planner items**, choose **On a specific date** and pick a date, or choose **Send to Unscheduled**.
5. Decide whether to turn on **Hide from company users** for newly created Planner items.
6. Select the dialog's **Sync All Companies** to submit, or **Cancel** before submission to abandon these choices.
7. Wait for background processing, then review the matrix and linked Planner items. A started message confirms submission, not completion of every record.

The confirm button is disabled while **On a specific date** has no chosen date. A chosen date becomes both the start and due date for newly created items. Unscheduled leaves both dates empty. These dates are planning choices, not appointments or booked engineer time.

## New records and existing work

| Record | What the sync does |
| ------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------ |
| Missing company/standard tracking pair | Creates a Not Started tracking record for an active company. |
| Tracking record without a linked Planner item | Creates linked work, including for optional standards and categories without a Planner type. |
| Existing company deployment status | Keeps the recorded Standards status. |
| Existing linked Planner title, description, estimate and type | Refreshes these from the catalog when they differ. |
| Existing linked Planner status | Reconciles it with Standards, while preserving Planner-only On Hold and Pending Approval states. |
| Existing Planner dates, Company visibility and public/private notes | The new-item schedule and visibility choices do not replace these existing values. |

<Warning>
  The dialog's statement that existing company statuses are preserved does not mean all Planner fields are untouched. A sync can replace a company-specific Planner title, description, estimate or type with the shared catalog values.
</Warning>

A new Planner item's default estimate is not a purchase or approved quote. **Hide from company users** makes newly created work internal; leaving it off does not grant a Company user access to unrelated Planner work. Their permissions and company scope still apply.

## Verify the result

Open **MSP Tools > Standards**, check relevant company rows, then open their linked work. You can also use **Planner > List** and the **Standards** Source filter. Confirm names, statuses, dates, estimates and Company visibility before relying on the rollout.

If submission or processing fails, inspect what already exists before retrying: background work can make partial progress. Do not delete tracking or Planner records merely to force a retry. Report the workflow failure to the MSP administrator with the affected company and standard.

For Company-facing interpretation, share [Understand Standards items in Planner](/user-guides/planner/understand-standards-items).
