Overview

The Invoices module displays invoice data synced from your ConnectWise PSA integration. View invoice details, track payment status, download PDFs, and add invoices to meetings or planner items for easy follow-up.
Invoices are synced from ConnectWise PSA. You must have an active ConnectWise integration configured to see invoice data.

Getting Started

Prerequisites

  • ConnectWise PSA integration enabled and synced
  • Appropriate user permissions to view invoices

Accessing Invoices

Navigate to Invoices from the main sidebar to view your invoice list.

Understanding the Interface

The Invoices page displays a data table with the following information:
  • Invoice #: Unique invoice identifier (click to view PDF)
  • Reference: Invoice reference text
  • Company: The company associated with the invoice
  • Type: Invoice type (e.g., Standard, Agreement)
  • Status: Current invoice status
  • Date: Invoice creation date
  • Due Date: Payment due date (overdue invoices are highlighted in red)
  • Total: Invoice total amount

Column Visibility

Click the column toggle button to show/hide additional columns:
  • Subtotal
  • Balance
  • Payments
  • Sales Tax
  • Terms
  • Bill To
  • PO #
  • Sent status
  • Synced timestamp

Common Tasks

Viewing Invoice PDFs

Find the Invoice

Locate the invoice in the data table using filters or search

Open PDF Viewer

Click the Invoice # link, or click the row menu (three dots) and select View PDF

Review or Download

The PDF viewer dialog opens with the invoice document. Use browser controls to download or print.

Filtering Invoices

Use the column header filters to narrow down your invoice list:
  1. By Status: Filter to see only open, paid, or specific status invoices
  2. By Type: Filter by invoice type
  3. By Company: Select one or more companies from the multiselect dropdown
  4. By Invoice #: Type to search by invoice number
  5. By Reference: Search by reference text
  6. By PO #: Search by purchase order number

Bulk Download

Download multiple invoices at once as a ZIP file:

Select Invoices

Use the checkboxes to select the invoices you want to download

Click Download

Click the Download X invoices button that appears in the header

Save ZIP File

A ZIP file containing all selected invoice PDFs will be downloaded to your computer

Adding Invoices to Meetings

Add an invoice as a meeting agenda item for client discussions:

Open Invoice Menu

Click the three-dot menu on the invoice row

Select Add to Meeting

Choose Add to Meeting from the dropdown

Select or Create Meeting

Choose an existing meeting or create a new one. The invoice details will be added as an agenda item.
Adding invoices to meetings is useful for QBR discussions or billing conversations with clients.

Adding Invoices to Planner

Create a planner task to follow up on an invoice:

Open Invoice Menu

Click the three-dot menu on the invoice row

Select Add to Planner

Choose Add to Planner from the dropdown

Configure Task

Set the task details including due date and priority

Understanding Invoice Status

StatusDescription
OpenInvoice has been sent and awaiting payment
PaidInvoice has been fully paid
ClosedInvoice is closed (may be paid, voided, or cancelled)
VoidInvoice has been voided
Overdue invoices (past due date with remaining balance) are highlighted with a warning indicator in the Due Date column.

Sorting and Pagination

  • Click any column header to sort by that column
  • Click again to reverse the sort direction
  • Use the pagination controls at the bottom to navigate between pages
  • Invoice data is sorted by Invoice # (descending) by default

Best Practices

  • Regular Review: Check the invoices page regularly to monitor overdue payments
  • Use Filters: Take advantage of status and company filters to focus on relevant invoices
  • Meeting Integration: Add outstanding invoices to client meetings for proactive billing discussions
  • Planner Tasks: Create planner items for invoice follow-ups to ensure nothing slips through
