Account notes are internal. They are visible to your staff, never to company users.
Where to find them
The QBR Log tab appears on meetings that are linked to a company. It is not shown to company users.
Adding a note by hand

Open the notes list
Go to Settings > Companies, open the company, and select the Notes tab.

Click Add note
Choose the Kind: Account note for a free-form note, or QBR log for a structured business review entry.

Fill in the entry
Give it a Title and a Date. An account note takes a rich text body. A QBR log entry takes Discussed, a list of Agreed decisions, and a list of Actioned commitments with an owner and due date.

Save
The note appears at the top of the account history.
Generating a QBR log entry from a meeting

Open the meeting's QBR Log tab
On any meeting linked to a company, select QBR Log.

Generate the entry
Click Generate from this meeting. MSPortal builds the entry from the meeting summary, agenda, meeting notes, action items, and transcript, along with the last few log entries for that company so follow-ups on earlier commitments are picked up.

Review and edit
Edit anything that is not right. Use Regenerate with AI to rebuild the entry. Commitments you have already ticked as Done survive a regeneration.
Writing entries automatically after a meeting
Turn on Update the QBR log automatically in Settings > Operations > Calendar > Post-Meeting. After a meeting summary is sent, MSPortal writes the QBR log entry for that company with AI. The entry is written a few seconds after the summary is sent. The QBR Log tab shows that the entry is being written rather than an empty state. Automatic entries are skipped for:- Meetings that are not linked to a company
- Technician visits, service calls, and internal meetings
- Entries that were already edited by hand, so your team’s edits are never overwritten
Tracking commitments
Each commitment carries a description, an owner, a due date, and a Done tick. The entry header shows how many are still open, for example 2 of 5 open, and the Account Notes card on the company overview shows the open count across the company. Tick a commitment as done directly in the list. The change is saved immediately.Filtering and searching
The notes list has:- A search box across note bodies, titles, authors, and types
- A kind filter: All notes, Account notes, or QBR log entries
- A note type filter for Autotask note types
- Sorting by newest, oldest, note type, or author
Saving notes into Autotask
This section applies to companies linked to an Autotask integration. Other companies keep their notes in MSPortal.
Notes already synced to Autotask appear once in the account history, not twice. Deleting a note in MSPortal does not delete the copy in Autotask.
When a push fails
A failed push never loses the note. It is saved in MSPortal and marked Autotask sync failed with the error from Autotask. Use Sync to Autotask on the note to retry once the cause is resolved, such as a note type that no longer exists or a company that is no longer linked.Troubleshooting

The tab only appears on meetings linked to a company, and only for staff. Set the company on the meeting, then reopen it.

Check that Update the QBR log automatically is on in Settings > Operations > Calendar > Post-Meeting. Entries are also skipped for technician visits, service calls, internal meetings, meetings without a company, and entries already edited by hand. You can always write one with Generate from this meeting.

Note types come from the daily Autotask picklist sync. Confirm the company is linked to an Autotask integration and that the integration has synced at least once.

Regenerating rewrites the entry. Completed commitments are preserved, but wording you changed by hand is replaced. Entries edited by hand are never regenerated automatically, only when you click Regenerate with AI.
