Use List View to find a Planner item by title or compare many items in one table. This guide is for company users and MSP staff.

Before you start

  • You need Planner read access. Your MSP controls which items company users can see.
  • Open Planner Menu > List View. The table covers the companies in your company selector.

Find and open an item

1

Check the company selector

The list follows the company selection at the top of the portal.
2

Filter by title

Type part of the title in the Filter… box under the Title column. Results update after a short pause.
3

Narrow with other columns (optional)

Use the filters under the other column headings. See the table below.
4

Open the item

Click the item’s title. Read-only users can read the details but not change them. See Read a Planner item.
The Title filter searches titles only. It does not search descriptions, notes or linked records. Typing high here searches title text. Use the Value filter for High business value.

Use the column filters

Filters work together. Company and Assignee accept several choices. Status, Value, Type and Source take one choice at a time. Filters search all matching items, not only the rows on the current page.
  • Standards marks work created from your MSP’s Standards (formerly called Tool Stack).
  • PSA marks work that has a PSA-managed opportunity link. A manually linked opportunity does not make an item PSA-managed.
To clear the filters, click Clear Filters. If you arrived through a link that set a company or source filter, set that filter back to All to remove it.

Use the Due Date filter

1

Open the Due Date filter

Click the filter under the Due Date heading.
Due Date choices: All, Not Set, Past Due, Today, Tomorrow, Next Week and Next Month.

Due Date presets. Not Set finds work without a due date.

2

Choose a preset

Past Due finds dates before today. It also finds Completed and Cancelled items, so combine it with Status to review unfinished work.
Filtering by date never changes an item’s due date.

Read pages and estimates

  • The list shows 25 rows per page. Use Rows per page below the table to switch to 50 or 100, and the page controls to move between pages.
  • Filtering, sorting, or changing the page size returns you to page 1. The Source column cannot be sorted.
  • Scroll the table sideways to see Hours and Cost.
  • Cost shows separate One-time, Monthly and Annual amounts in the company’s currency. They are not added into one total.
  • The row checkboxes select rows on the current page only. Changing page, filters or company clears the selection.

Find archived work

Click Archived in the page header to show archived items only. Click it again to return to active work. Existing column filters still apply. Switching views returns you to page 1 and clears the selection. An empty archived list can mean no accessible archived item matches your filters. It does not prove the item was deleted. See Find archived Planner work.

Use the row menu

Click the menu button at the end of a row. Options depend on your permissions.

Export

List View has no Export CSV button. To export Planner data, open Planner Menu > Analytics and click Export. The export uses the Analytics filters, not the List View filters. See Read and export Planner Analytics.
