Use the Planner timeline to see proposed work grouped by due date. This guide is for company users and MSP staff.

Before you start

  • You need Planner read access. Company users see only items their MSP has made visible, within their company access.
  • Dragging cards and adding items need Write Planner or Manage Planner.
  • An item on the timeline is a plan. It does not mean the work is approved, booked on a technician’s calendar or finished.

Find work on the timeline

Open the timeline

Click Planner in the sidebar. From another Planner page, choose Planner Menu > Timeline View.

Check the company selector

Look at the company selector at the top of the portal. Staff can view several permitted companies together or one company.

Choose a time scale

Click Monthly, Quarterly or Yearly in the toolbar. The default is Quarterly.

Quarterly view. Each column header shows the period, then the item count, hours and budget.

Go to the right period

Scroll sideways. Use the year arrows in the toolbar to change the year, and check the year shown in each column header. Click Today to jump to the current period.

Open an item

Click the item’s title. The item opens in a dialog. Read-only users can read it but not change it.
A card sits in the column that contains its due date. It is not a bar that spans a start and end date. The highlighted column is the current period. It is not an overdue or completion marker. Today changes the period you are viewing. It does not change the time scale or any item’s date. The year arrows stop at 2024 and at ten years after the current year.

Find items with no due date

Open Unscheduled

Click Unscheduled on the right side of the timeline. The panel lists items with no due date and shows how many there are.

Close the panel when you are done

Click the arrow in the panel header to give the timeline more space.
The count follows your current filters, so a filter can hide unscheduled items too. List View is another way to find work.

Move an item to another period

With Write Planner or Manage Planner:

Drag the card

Grab the handle on the left of the card and drop it in another column. The item’s due date becomes the first day of that period, and a message confirms the move.

Move several cards at once (optional)

Hold Ctrl (or Cmd on Mac) and click each card’s title to select it. Drag one selected card to move them all.

Remove an item's due date (optional)

Drag the card onto the Unscheduled panel, or open the card’s menu and choose Remove from schedule.

Hover over a card and click the menu button to see these options. Which ones appear depends on your permissions.

Open View density

Click the View density button in the toolbar.

Choose a level

Pick one of the options in the table below.
Your browser remembers the year, time scale, density and recurring-cost setting. Search text and filter choices are not saved.

Read the hours and budget figures

Each column header shows three numbers: items, hours and budget. They cover the cards in that column, after your filters. Hours and budget are planning estimates. They are not time entries or invoices. By default the budget counts costs on items due in that period. To spread recurring costs forward, turn on Project Recurring Costs in the Filters drawer.

Open Filters

Click the Filters button (sliders icon) in the toolbar.

Turn on Project Recurring Costs

Switch on Project Recurring Costs. Monthly and annual costs now roll into every later period they apply to.

Hover over a budget figure

The tooltip splits the budget into Recurring, This Period and Total.
With projection on:
  • Monthly costs add a full month, quarter or year of cost to each period from the due period onward.
  • Annual costs add once in each period that contains the due month, from the due period onward.
  • One-time costs stay in the period that contains the due date.
Projection uses full periods and does not prorate. A monthly cost of USD 100 due in February adds USD 300 to Q1 and USD 1,200 to that year. Projection adds cost to later columns. It does not add cards or hours there. When companies use different currencies, hover over the budget figure to see each currency. Planner does not convert between them. The budget figure is an estimate from Planner costs. It is not a saved budget or actual spend.
