Find the source item
On a wide screen the source panels sit beside Budget Line Items. On a narrower screen, expand the corresponding panel above the line-item table.- Use each panel’s Search to narrow by title or product details.
- Planner Items excludes archived work and items marked Completed or Cancelled. An existing linked budget cost can remain after its source is no longer offered.
- The shared Filter for Planner Items · Strategic Goals defaults to the budget’s fiscal year and all months. Choose All years to include work outside that year or without a matching year. Select a Month to narrow dated work; Reset restores the budget year and all months.
- The planning date filter changes the available source lists. It does not change the budget’s fiscal year, products or rows already added to the plan.
- Products and Services > all broadens the product list within the MSP’s own tenant. It does not expose another tenant’s catalog. Choose a product applicable to the target company.
Add a Planner item

Find the planned work
Locate it in Planner Items using the year/month filter and search. Check its due date, status and estimated cost.

Add its costs
Choose the item’s + control, labeled Add to budget. A Planner item with several positive cost components can add several budget lines. Review all of them, not just the first row.

Check billing and notes
The rows carry the Planner link, category and available cost details. The billing start month follows the Planner due date, falling back to an available start date or January. Review quantities, unit prices and recurrence, especially for incomplete estimates.

Save the budget
Choose Save and check the saved plan and Monthly Breakdown. Adding to a budget does not mark the Planner work complete.
Add a strategic goal
Find the goal and select +. It adds a linked line with quantity 1, unit price 0, One-time recurrence and a January start. Enter the actual planned cost and billing schedule before saving. A goal’s priority does not supply a price or approve the cost.Add a catalog product
Find the product in Products and Services, check its name, SKU, vendor and price, and select +. The main row starts with quantity 1, the catalog unit price and default billing recurrence. Set the quantity you plan to buy and the correct Start month. A product with a positive setup fee also adds a separate One-time setup row. Review that row separately; it starts with quantity 1 and a January start. Do not assume changing the main row’s quantity automatically updates its setup row. A matching existing budget category is used when possible. Review uncategorized rows, missing billing defaults and zero prices before saving. Catalog price changes do not automatically update costs already added to a budget.These + controls can add another copy when used again. They do not share Excel’s description-based duplicate blocking or the licensing import’s Already in budget check. Review the line table before selecting the same source again.
