The Licenses tab shows license assignments across every connected Microsoft 365 and Google Workspace tenant. Use it to spot tenants running out of seats, tenants paying for seats nobody uses, and to prepare renewal conversations with real numbers.

What the Table Shows

Seat Capacity by Platform

Microsoft 365 reports purchased seat totals, so Microsoft rows show full Purchased, Available, and Utilization figures.Google Workspace reports which users hold which license, but does not expose purchased seat capacity through its assignment interface. Google rows therefore show Assigned counts with Unknown in the capacity columns.
This is a deliberate design decision. MSPortal shows what each vendor actually reports rather than estimating capacity, so a number on this page is always one you can quote to a client. Hovering the Unknown badge explains the same thing in the interface.
For Google Workspace renewals, use the Assigned count as your seat-in-use figure and compare it against the seat count on the client’s Google invoice or reseller portal. Assigned counts are exact.

Google Assignment Counting

A Google Workspace row counts distinct users holding that product and SKU combination. A user assigned both a core Workspace SKU and an add-on such as Vault or Gemini appears once on each row, which is the correct billing view.

Utilization

The Utilization column shows a progress bar and percentage of purchased seats in use, for the platforms that report capacity.

Searching and Filtering

  • Search matches license names, SKU codes, domains, and company names
  • Cloud provider narrows to one platform or shows both
  • Company is a multi-select column filter, hidden automatically when you are already scoped to one company
  • Tables load 50 rows per page

Common Use Cases

Renewal preparation

Filter to one company and review every SKU with its assigned count before a renewal or true-up conversation.

Seat headroom check

Sort by utilization to find Microsoft tenants close to capacity before a client’s hiring wave.

Reclamation sweep

Cross-reference with Cloud Users filtered to Status = Disabled to find licenses still assigned to inactive accounts.

Add-on discovery

Scan Google Workspace product rows for add-ons such as Vault or Gemini that a client is paying for but may not have rolled out.

Company Scoping

The page follows the global company selector. Select a single company to review that client’s licensing, or view every connected tenant at once. Company users who sign in to the portal see only their own organization.

Permissions

Viewing the Licenses tab requires the Microsoft 365 read permission (read_m365), which also governs the other Cloud tabs.
