Project templates define the starting plan for a project. Create a template once, then use it for a new MSPortal only project or a supported PSA project.

Before you start

Open Settings > Projects > Templates. You need project-settings write or manage permission to maintain templates. Creating a project from a saved template requires project write permission and an active subscription.

Build your first template

Name the delivery plan

Select New template. Enter a Template name, Description, and Estimated duration (days). Add optional Tags to describe the work.For example, a Client Workspace Launch template can cover discovery, configuration, launch, and handover over 14 days.

Add phases

Select Add phase, enter its Phase name and optional Estimated days, and repeat for each stage. Drag the phase handle to change the order.For the example, create Discovery and preparation and Launch and handover.

Add tickets to each phase

Select Add ticket inside the phase. Select a ticket row to expand its editor, then complete the fields below. Drag ticket handles to change their order or move work between phases.

Add decisions and action items

Use Add decision for approvals, questions, access requests, scheduling, or decisions. Use Add action item for follow-up tasks. Set the title, optional description, due offset, linked phase, and urgency as appropriate.These become project collaboration items in Decisions and Action Items; they are separate from delivery tickets.

Save the template

Select Create template. The saved template opens in its editor. Later edits show Unsaved changes and need the editor’s save action. Adding or typing into a row changes the draft; it does not create a live project.

Ticket fields

Offsets make templates reusable. A ticket starting at day 0 and due at day 2 is scheduled relative to the chosen reference date. Check the generated dates before treating the plan as committed to the client.

Design a template with AI

Use Open the AI template designer in the builder to describe the delivery plan you need. Include scope, phases, expected outcomes, timing, and the decisions you need from the client. Review the proposed template changes before accepting them into the builder. Check names, date offsets, estimates, assignees, and the split between decisions and action items. Save the template after reviewing the resulting draft. Template design does not itself launch a project.

Import and maintain templates

The Templates page also offers import from supported connected PSAs when available. Choose the provider and source template through the picker, then review the imported plan in MSPortal. Available sources depend on your integration and access. For a saved template, its row menu offers maintenance actions such as editing, duplicating, archiving, and deleting. An imported template can also offer an update from its source. Read the confirmation before updating from the source because it can replace local template content. Archive a template when it should no longer be offered for new projects. Template changes do not silently rewrite projects already created from it.

Add a template to an existing project

Open the project and select Apply template. Choose the template and the items to add, review the selection, and apply it. The dialog distinguishes items and reports the result; read warnings or failures before retrying. A native project receives local MSPortal records. A supported PSA-backed project can create work in that PSA. Applying a template adds work to the selected project; it is a separate action from editing the reusable template.
