Warranty writeback copies the warranty dates MSPortal tracks for your devices into Hudu assets or IT Glue flexible assets. MSP admins turn it on from the optional Configure warranty task on the Hudu or IT Glue connection page. It writes to your documentation platform, so turn it on only when you want MSPortal’s dates to update those records.
For IT Glue, configurations are the usual target and need no field mapping. See Warranty writeback to IT Glue configurations. This guide covers Hudu assets and IT Glue flexible assets.

Before you start

  • A connected Hudu or IT Glue integration, with companies mapped to MSPortal companies.
  • An API key that can update the assets you want to change.
  • Synchronized Hudu asset layouts or IT Glue flexible asset types that have a serial number field and a warranty date field.
  • Devices in MSPortal with a serial number and a successful warranty check that found an expiration date. See Understand device details.

How devices are matched

MSPortal matches a device to an asset by serial number only. The serial number must be unique inside the mapped company and the asset type you choose.
  • It never matches by device name or hostname.
  • Assets with a missing, placeholder or duplicate serial number are skipped.
  • An optional start date is written only when the device has one.
  • A missing date in MSPortal never erases a date already in your documentation platform.

Turn on warranty writeback

Open the warranty settings

Open the Hudu or IT Glue connection under Settings > Integrations, then select Configure warranty to open Warranty Writeback. In IT Glue, expand Flexible assets (optional). Dataset and content-type selections stay in Choose data.

Map device types to asset types

Under Device and warranty field mappings, choose a Hudu asset layout or IT Glue flexible asset type for each MSPortal device type you want to write. Leave a device type on Not mapped to exclude it.

Choose the fields

For each mapped device type, choose a Serial number field and a Warranty expiration field. Both are required. Hudu also offers Primary serial for the serial number. Warranty start field is optional and must be a different field from the expiration field.

Turn the switch on

Turn on Enable warranty writeback. In IT Glue the switch is named Write warranty dates to flexible assets. You need at least one complete mapping to turn it on.

Save

Select Save warranty settings. The switches and selectors do not take effect until the save succeeds.
Saving with writeback on starts an asset sync and a writeback right away, and it also turns on synchronization for the mapped asset types. Check your content sync and client visibility settings after you save.
If several device types use the same asset type, they share the same serial and warranty fields. Changing a field on one row changes the others, so review every row before you save.

Check the result

Wait for the run to finish

The first writeback starts when you save. After that it runs daily while the switch is on.

Open a known asset

In Hudu or IT Glue, open an asset whose device has a warranty date in MSPortal.

Compare the dates

Check that the serial number, company and warranty dates match the device in MSPortal.

Turn it off or change the scope

Open the warranty settings

Open the same step you used to turn it on.

Turn off or remove mappings

Turn off the switch to stop all future writes. To stop writing one device type, set it to Not mapped.

Save

Select Save warranty settings.
Dates already written stay in Hudu or IT Glue. Turning writeback off does not roll them back. Saving a mapping also turns on sync for its asset type, and removing the mapping does not turn that sync off again.
